Privacy Policy

InterXept is operated by KNCM Group Limited (NZBN: 9429053839213 · GST No: 149-291-296) trading as InterXept, incorporated in New Zealand on 22 July 2026.

We are subject to the New Zealand Privacy Act 2020 and the Information Privacy Principles contained within it.

Account information:

• Email address and password (coaches and parents)
• Club and team name
• Region (for IXP number generation)

Player information:

• Player name and playing position
• IXP identity number (unique player identifier)
• Sport, region, and club affiliations
• Date of birth or school year (if provided during trial assessment)
• Injury records (if logged by coach)
• Game statistics and performance data
• Wellness check-in responses (emoji-based, during game day)

Usage information:

• Game events and timestamps
• Login times and device type

• Player profiles are created by coaches or administrators — not by players themselves
• Where a player under 16 is given their own login (to view their own stats and message their coach), this requires a parent or guardian's email and consent, provided when the login is set up
• Parents and guardians access player data through a controlled invitation system
• Player data is never shared publicly without explicit consent
• Wellness and attendance data is visible only to the coach and authorised parents
• Coach-to-player messages ("Work-ons") are visible to the coach and the player, not automatically to parents — a parent who wants visibility into this should contact their coach directly
• We do not use player data for advertising or marketing purposes
• Any concerns about a message or interaction involving a minor should be reported immediately to team@interxept.co.nz

• To provide the InterXept platform and its features
• To generate and maintain IXP player identity numbers
• To send transactional emails (welcome, invoice, activation, game stats)
• To send subscription renewal reminders
• To improve the platform based on usage patterns
• To provide customer support

We do not use your information for advertising, sell it to third parties, or share it with any organisation outside of those required to operate the platform.

The IXP number (e.g. IXP-WGN-00001) is a unique lifetime identifier assigned to each player registered on InterXept. It:

• Is tied to the player, not the club or sport
• Travels with the player across clubs, teams and sports
• Is visible to the player, their coach, and authorised parents
• May be shared with other clubs on InterXept if the player transfers, with coach consent
• Is never published publicly without consent

All data is stored in Google Firebase (Asia Southeast region — Singapore), which provides enterprise-grade security including encryption at rest and in transit.

Access to data is controlled by Firebase Authentication — only authorised users can access their club's data.

We use role-based access control:

• Coaches can only access their own club and team
• Parents can only see their own child's data
• Administrators have full access to manage clubs

• Active club data: retained while subscription is active
• Expired subscriptions: data retained for 90 days after expiry
• After 90 days: data is permanently deleted unless renewed
• IXP player profiles: retained indefinitely as they represent a player's lifetime record
• You may request deletion of your data at any time by emailing us

Under the Privacy Act 2020, we are required to assess any privacy or security incident and, where it is likely to cause serious harm, notify:

• The Office of the Privacy Commissioner, as soon as practicable
• Affected individuals (or their parent/guardian, where the individual is a child), so they can take steps to protect themselves

We will provide clear information about what happened, what data was involved, and what we are doing about it.

When activating an account, every user (or their parent/guardian, for players under 16) is asked to actively confirm they have read and agree to this Privacy Policy and our Terms of Service before the account is created. We do not rely on continued use of the platform alone as consent.

We use the following third-party services to operate InterXept:

• Google Firebase — database, authentication, and hosting
• Resend — transactional email delivery
• Netlify — web hosting and serverless functions
• MailerLite — marketing email sequences (coach emails only, not player data)

Each of these services has its own privacy policy and data processing agreements.

Under the New Zealand Privacy Act 2020, you have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Ask how your information is being used
• Make a complaint to the Privacy Commissioner if you believe your privacy has been breached

InterXept uses browser local storage (not traditional cookies) to maintain your login session and preferences. This data stays on your device and is not transmitted to us.

We may update this privacy policy from time to time. We will notify active coaches by email of any significant changes. The date at the top of this page shows when it was last updated.
